U-CAN IMPORTANT DEFINITIONS:
────────────────────────────
FOLDER: This term is used to describe the business activity you are involved in.
If you are a business person with a realty office and an insurance office, you
would need a "folder" for "each business". In each "folder", you would keep
info. about the clients/prospects associated with that business. You can keep
info. for "as many people as needed". Information fields are described below:
1] Company 2] Name of person
.....3] Salutations 4] Up to two address lines.
: 5] City + State(std PO abbrev.) 6] Zip or International postal code
: 7] Contact date (mo/day/yr) 8] Place of employment
: 9] Home phone (12 characters max) 10] Work phone (12 characters max)
| 11] Family info (1-3 lines) 12] Comments (1-3 lines)
!
SALUTATIONS:
This is the way you would address a letter for the person stored on the PC.
Do not key "Dear" since U-CAN auto. prints the "Dear" portion.
Example: John Doe could have a salutation of
~~~~~~~ ==>Mr. Doe -OR- John<==
If you leave it blank, the salutation would be Dear John Doe:
ACTIVITY DATE: (Appears above Search Key) It is assigned by program using your
system date. It starts when person added; updated for letter/label printing.
Try to remember that your computer is like a filing cabinet that stores
information regarding specific types of transactions or events.
In each drawer is a file folder containing information regarding people
that have any importance to that file folder.
When you need to look for information in that folder, it is much easier
if you have put the sheets in some kind of order; such as by name or date.
That is what the "Search Key" is used for. It allows the computer to keep
the information in your file (folders) in whatever order you desire.
It also allows you to search for them using one or all characters of the key.
Suppose you are keeping customers in the folder that you are using
in order by their name and that the person being put on file is John Doe:
==>You will probably use: Doe J or Doe John as the search key.
U - C A N letter writing for use with FOLDERS.
~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~
Our simple word-processor is designed to be easy to use. It is not a graphics
dominated program like other systems that require manuals and have menus of
hundreds of commands to be learned. Our "U-CAN" letter writer is basic/easy.
There are a few simple rules you should follow to insure proper usage. Please
observe the information in this guide.
1] The first screen you will encounter allows you to write a new letter or
choose an existing letter. Our program comes with 10 std. letters already
assembled. These can be altered to fit your needs or deleted. That is your
choice.
LETTER ACTIONS: Write a new letter.
~~~~~~~~~~~~~ Choose an existing letter.
Return to your U-CAN folder.
** Please note that the maximum number of letters for our program
** is 100. Don't try to house more that 100. You will have problems.
2] No matter what letter activity you choose, you will need to give a name
to your letter. The name rules are below.
Letter Name: 2-8 continuous alpha characters. "MIS" will be generated
by the program as a suffix for each letter.
Description: Up to 20 positions allowed to define letter contents.
3] If you choose to obtain an existing letter, the following actions
are permitted: Send the letter back to U-CAN to be printed.
Put the letter into the letter writing mode to
review or edit.
Delete the letter.
4] Once you enter the letter writing mode, you can easily make a new letter
or alter the letter you have chosen. See the following editing functions:
A) Use keyboard INS + DEL keys to add or delete characters on a line.
B) Use [F1] key to insert a line.
C) Use [F6] key to delete a line.
D) Use [F10] key to see more lines of letter.
E) Use [ESC] key when you have finished with the review/edit.
/PHit [ENTER] for page 3. Use keyboard (shift+Print Screen keys) for hardcopy.
5] When finished with the review/edit, you can choose to do the following:
A) SEND letter to U-CAN for printing.
***Important, if this is a new letter or a letter you have edited,
you must first SAVE the letter before sending it back to U-CAN.
Then you re-choose the letter with the opening menu options and
send it to U-CAN.
B) SAVE the new or edited letter. This must be done if it is
a letter that has been added or changed and is to be sent to U-CAN
for printing later.
*When you save the letter, you can rename it.
*This creates a revised version of the letter.
/EHit [ENTER] Help over. Use keyboard (Shift+Print Screen keys) for hardcopy.
This stands for the method that allows you to search your FOLDER for people who
match a defined set of values. U-CAN allows the following selection choices:
1] Location:State ..or.. Zip/Int'l Code "from and to" Range.
2] Dates:
This can be the activity date associated with the person;
(assigned by U-CAN when people are either added to the FOLDER
or have letters or labels prepared).
This can also be the "Contact Date" field in the FOLDER if
you have defined this field as information to be stored.
When you use this field, it is important to remember that
it is a field that allows you to enter your own slash or dash
characters for editing. Ex: 12/25/90 or 1-31-91.
So enter the search pattern using the same edit method of choice.
3] Text: Variable text within "Comments" fields. This lets you search on
from 1-8 characters within the comment fields. These are keyed
within the ? char. Ex: ?Renter ? looks for Renter and a space.
│ The biggest difference between a typewriter and the "PC" computer keyboard │
│ is that the "PC" keyboard has extra keys that are used by your computer for │
│ "program commands". It is important to know this! │
U-CAN uses the following keys for "commands":
~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~
PgUp │ These are located normally on the numerical pad
PgDn │ on the righthand side of the keyboard.
│
ESC │ Found normally at the top right or top left of the keyboard.
│
ENTER │ This is the largest key shaped like a backwards "L".
│
F1 │ These are called function keys and could be on the lefthand
thru │ side of the keyboard or in a long row at the top of your
F12 │ keyboard. When you see these "function keys", it means to depress
│ the "F" key that will give you the result you seek based on
│ instructions that ask for the "F" key commands.
────────────────────────────────────────────────────────────────────────────────
When you are entering numerical information, use the number keys on the normal
keyboard, not the number keys on the numeric keypad.
